Privacy Policy.
What we collect, why, and what we deliberately don't. Effective 6 August 2026.
1. On this website
- Forms and chat. When you send a project brief, use the audit form, or ask the site assistant a question, we store what you submit — your question, and contact details only if you volunteer them.
- Country, not IP. For assistant questions we store a two-letter country code derived at the edge and deliberately discard your IP address — the country is all our analytics need.
- Analytics. We use Google Analytics 4 and Google Tag Manager to understand how the site is used. See our cookie policy.
- Payments. Checkout is handled by Stripe. Your card details go to Stripe, never to our servers; we receive confirmation of payment and your plan.
2. Inside our AI services (for our clients and their callers)
When we operate an AI receptionist or messaging assistant for a client business, we process conversation data on that business's behalf:
- Call audio, transcripts, and outcomes (bookings, messages, handoffs).
- Message threads on SMS, web chat, or WhatsApp, including follow-up sequences and opt-outs.
- Contact details a caller or customer provides for booking and confirmation.
This data belongs to the client business. We use it to operate and improve their agent — not to advertise to their customers, and not to train models beyond the client's own configuration.
3. Call recording
- Every call is announced. Our voice agents identify themselves as AI and announce that the call is recorded at pickup, before the conversation begins — because several US states require all-party consent to recording.
- Callers can decline by hanging up or asking for a human; a request to stop recording routes the call to the business's staff line.
- Retention is plan-based: recordings are kept 90 days on Starter plans and 1 year on Professional and Practice plans, then deleted. Clients can request earlier deletion of specific recordings.
- Access is limited to the client business (via their dashboard) and to our operations staff when supporting that client.
4. Processors we use
Hosting and edge network (Vercel), database (Supabase), payments (Stripe), analytics (Google), and the telephony, speech, and AI model providers named in each client's order form. We share data with processors only as needed to run the service.
5. Your rights
Email us to access, correct, or delete data we hold about you. If you're the customer of a business we serve, we'll route your request to that business — the data is theirs, and we act on their instruction. We answer within 30 days.
6. Retention
Website enquiries are kept while we might work together and deleted on request. Client service data follows the retention windows above and the client's own instructions. Payment records are kept as tax law requires.
7. Changes
We may update this policy; the effective date above changes when we do.
